General Terms & Conditions (Groups)

1. Subject matter of the contract

1.1 If an event lasts longer than midnight, a surcharge will apply for each hour or part thereof beyond midnight.
1.2 The PALACE LUZERN reserves the right to change room reservations for meetings, meals, etc., provided this is in keeping with the organiser’s requirements and interests and is acceptable to him; this applies particularly in cases where the original number of participants changes leading up to the event.
1.3 The PALACE LUZERN reserves the right to invoice the following surcharges for changes made at short notice, postponements or delays of more than 30 minutes:

< 60 participants - CHF 200.-
60 to 100 participants - CHF 300.-
100-150 participants - CHF 350.-
150-200 participants - CHF 400.-
> 200 participants - CHF 500.-

1.4 Porterage: CHF 12.- in&out charge per person; our porters are on hand to attend to all luggage from 7 am.
1.5 Distribution of gifts: CHF 5.- per room, if required; gifts will be distributed after 2 pm.
1.6 Waste disposal: We charge a fee of CHF 60.- per cubic metre to dispose of conference materials such as documents, cardboard boxes, etc.
1.7 The surcharge for a breakfast & baggage service before 7 am is CHF 350.- in each case for each hour (or part thereof) before 7 am.
1.8 The PALACE LUZERN undertakes to provide the organiser with the agreed number of rooms. The check-in time on the day of arrival is 3 pm; the check-out time, 12 noon on the day of departure. If for whatever reason the PALACE LUZERN should be unable to make available the reserved rooms, it undertakes to organise accommodation of equivalent quality and to pay for all transport or accommodation costs over and above the contractually agreed price that may be incurred in this context.

2. Co-ordination

2.1. The organiser is to give notice to the PALACE LUZERN no later than 14 days prior to the event of the detailed programme, full details of the layout for the seating arrangements and technical facilities, and the definitive menu and choice of menu and wines, all of which the PALACE LUZERN requires to ensure the smooth organisation of the event.
2.2 The organiser is to notify the contact person responsible for the event at the PALACE LUZERN of any last-minute changes to the programme or additional requests - including during the event.
2.3 The organiser is to give notice of the precise programme (e.g. speeches, performances) no later than 24 hours prior to the event, and the precise list of participants 5 days prior to the event.
2.4 The PALACE LUZERN can only guarantee the faultless quality of the food and beverages (e.g. coffee breaks, meals, etc.) if participants arrive at the agreed time or if the organiser gives notice of any change to the starting time well in advance (at least one hour beforehand).

3. Terms & conditions of payment and cancellation

3.1 Invoices submitted by the PALACE LUZERN are to be settled net within 30 days of the invoice date. We draw your attention to the fact that any objections regarding the invoice must be lodged within 10 days of the date of invoice. The place of jurisdiction is Lucerne.
3.2 The PALACE LUZERN assumes as a matter of principle that all invoices are to be borne by the organiser. If the organiser requires special forms of invoicing or for the invoice to be divided up in a particular way, he is to notify the PALACE LUZERN accordingly prior to the event. In such cases, too, any unpaid invoices remain the organiser’s responsibility.
3.3 In the event of cancellations at short notice the PALACE LUZERN reserves the right to charge for prospective services.

Lodgings / seminar packages

Cancellations received later than 30 days prior to the start of the event will be invoiced in full.

4. Liability

4.1 As a matter of principle the organiser is fully answerable for any losses or damage caused by him, his staff, other assistants or by participants at the event. It is the organiser’s responsibility to take out the appropriate insurance cover.
4.2 As a matter of principle the organiser is solely responsible for loss of or damage to property brought onto the premises. The PALACE LUZERN is liable only within the scope of statutory provisions. This applies likewise to materials and equipment sent in advance and to the operation of said materials and equipment by our staff.
4.3 Where the PALACE LUZERN provides the organiser with technical facilities or other installations or contracts third parties to do so, it acts on behalf and for the account of the customer. The organiser is liable for the proper handling and orderly return of these objects and holds the PALACE LUZERN harmless from any claims asserted by third parties resulting from the transfer of such objects.

5. Applicable law and place of jurisdiction

5.1 The present contract is subject to Swiss law.
5.2 The parties agree explicitly to Lucerne as the exclusive place of jurisdiction.
